1 Getting Started
How do I set up my Ten Alliance account for the first time?
Once your account is created by Ten Alliance, you will receive a welcome email with your login credentials. Log in at your institution's portal URL, complete your institution profile, add your branches, configure your loan products, and then invite your staff members. Our onboarding team will guide you through each step during your onboarding session.
How do I add a new branch?
Navigate to Settings → Branches → Add New Branch. Enter the branch name, address, contact details, and assign a branch manager. You can then assign staff members to this branch and configure branch-specific loan products and settings. Branches are activated immediately upon saving.
How do I create my first loan product?
Go to Settings → Loan Products → Add Product. Define the product name, interest calculation method (flat, declining balance, or annuity), default term, repayment frequency, penalty rates, and any applicable fees. You can create multiple products for different loan types (e.g., Business Loan, Group Loan, Agri Loan).
Can I import my existing borrower data?
Yes. Ten Alliance supports bulk CSV upload for borrowers, loans, and repayment histories. Download the template from Data → Import → Download Template, populate it with your data, and upload it. Our system will validate the data before importing and flag any errors for correction. For large migrations, contact our support team who can assist with data migration planning.
2 Loans & Repayments
How do I process a loan repayment?
Navigate to the borrower's loan record, click "Record Repayment", enter the payment amount and date, select the payment method, and confirm. The system automatically allocates the payment to fees, interest, and principal in the configured order. A receipt is generated and sent to the borrower via SMS/email if those services are active.
How do I restructure or reschedule a loan?
Open the loan record and click "Restructure Loan". You can modify the remaining term, adjust the repayment frequency, capitalise arrears, or change the interest rate (subject to your permissions). The system recalculates the repayment schedule and records the restructuring event in the audit trail. A new loan agreement can be generated from the restructured terms.
How is the PAR (Portfolio at Risk) calculated?
PAR is calculated as the outstanding principal balance of all loans with at least one payment overdue by more than the specified number of days, divided by the total outstanding principal balance of all active loans. Ten Alliance calculates PAR30, PAR60, and PAR90 automatically each night and displays them on your dashboard. You can run a PAR report at any time from Reports → Portfolio Quality.
Can I set up automatic repayment reminders?
Yes. Go to Settings → Notifications → SMS/Email Templates. You can configure reminders to be sent a set number of days before a repayment is due, on the due date, and on specified days after a payment becomes overdue. Templates support dynamic placeholders like borrower name, amount due, and due date. Requires an active SMS gateway configuration.

How do I generate the regulatory compliance report?
Navigate to Reports → Regulatory → Compliance Report. Select your country's regulatory framework, the reporting period, and the branches to include, then click Generate. The report is pre-formatted to your local central bank's required templates and can be downloaded as PDF or Excel. Ensure your loan product configurations are accurate as these feed directly into the regulatory calculations.
Where can I find the Balance Sheet and P&L reports?
Financial statements are under Reports → Financial Statements. You can generate the Balance Sheet, Income Statement (P&L), and Cash Flow Statement for any date range and any combination of branches. Reports can be exported to Excel or PDF. Consolidated reports that combine all branches are available from the Reports → Consolidated menu.
How do I run a Collections vs Disbursement report?
Go to Reports → Loan Portfolio → Disbursements & Collections. Set your date range, filter by branch or loan officer if needed, and generate. This report shows total loans disbursed, total collections received, net loan book movement, and collection efficiency rate for the selected period.
4 Branches & Staff
How do I restrict a staff member to a specific branch?
Go to Staff Management → select the staff member → Edit Profile → Branch Assignment. Assign one or more branches. Staff assigned to specific branches will only see data for those branches. Administrators with the "All Branches" permission can view consolidated data across all branches.
What user roles are available and how do I configure permissions?
Ten Alliance has pre-built roles: System Administrator, Branch Manager, Loan Officer, Cashier, Accountant, and Auditor (read-only). Each role has a default set of permissions. You can customise permissions for any role under Settings → Roles & Permissions. Enterprise clients can create fully custom roles.
5 Accounting & Finance
How does the built-in accounting system work?
Ten Alliance uses a double-entry accounting system with a pre-configured chart of accounts designed for microfinance institutions. Every loan transaction (disbursement, repayment, fee, write-off) automatically generates the corresponding journal entries. The general ledger, trial balance, and financial statements are always up to date without manual data entry. You can also record manual journals for expenses, adjustments, and non-loan transactions.
Can I customise the chart of accounts?
Yes. The default chart of accounts can be extended under Accounting → Chart of Accounts → Add Account. You can add sub-accounts under any parent account. Core system accounts (loan portfolio, interest income, etc.) cannot be deleted as they are linked to automated posting rules, but you can add additional accounts to capture institution-specific items.
6 API & Integrations
How do I access the API documentation?
API access is available on Professional and Enterprise plans. API documentation is available within the platform under Settings → API → Documentation, or at api.tenalliance.co.zw/docs (coming soon). Generate your API key under Settings → API → API Keys. All API calls use Bearer token authentication over HTTPS.
How do I configure the SMS gateway?
Go to Settings → Integrations → SMS Gateway. Ten Alliance supports integration with popular SMS providers operating in Zimbabwe. Enter your provider's API credentials, set your sender ID, and run a test SMS to confirm connectivity. Once active, all configured notification templates will send automatically.
